The ASR Section Enrollment Dashboard provides a host of information on enrollment trends. Below are links to each college and district level information. All attendance types are included in this visualization for the calculation of FTES. Trend lines show a day-to-day comparison between current and the last five past similar terms. KPIs are included which show percent difference between the current selected term and the most recent past term. Use the filters to modify and drill into specific areas of interest.

  1. Filters:

    1. College Desc: Changes the college location
    2. Campus Desc: Select specific campus locations
    3. Div Desc: Select associated academic divisions with campus or colleges
    4. Departs Desc: Selected associated academic departments
    5. Sec Subject: Select specific subject areas
    6. Course Name: Select a specific course name
    7. Level of Detail: You can change the middle graphs to show different levels of detail, the default is based on the College Desc filters, you can change this level of detail to any of the other filter levels down to course name.
    8. Year — there are 5 years of data you can select any of them as the “current” view
    9. Session — Change the selection to Summer, Fall or Spring.

The ASR Section Enrollment Dashboard provides a host of information on headcount trends. Below are links to each college and district level information. This dashboard has point in time comparisons between the last five similar terms, as well as KPIs. You can use the filters to adjust Academic Year, Session, and Campus.

A second source for headcount is the ASR Strategic Scheduling Dashboard. This dashboard provides a visualization representing student behavior and choices associated with sections.

At the top of the page there is a day/time grid, the blocks in the grid are darker blue with higher headcount of students. You can drill into the “Time Bucket” to get greater detail of course times by hovering your mouse over the heading “Time Bucket” and clicking on the (+) that appears, this changes the view into two-hour blocks of time and a new heading “Start Time Bucketed” appears. You can drill in to the “Start Time Bucketed” and change the view to one hour blocks by hovering over the heading and clicking the (+) again.

At the bottom of the page there is a modality grid showing headcount and enrollment by section modality. The larger and darker the box the higher the headcount and enrollment. You can drill in to get section delivery method (sync, async, lab, etc.) by clicking on any of the boxes.

Filters are available to assist you with viewing a more specific set of selection criteria.

Yes. We have a published worksheet; Enrollment and Productivity by Specified Date, which can be used to look at specific attendance types and the associated section productivity. Metrics included are FTES, FTEF, FTES/FTEF, WSCH/FTEF, seat count, active section counts, and course hours. There are multiple filters avilable to help users get more specific details. Below is a description of filters and links to each college/district reports.

  1. Filters:

    1. Location: Change to main college locations, campus is in the level of detail
    2. Level of Detail: Multiple options avilable to you this aggregates the metrics at a specific level, college, district, campus, division, department, subject, course name, or section
    3. Attendance Type: You can select multiple options or a single option, metrics total based on these selections
    4. Term(s): You can look at specific terms independently or all term sessions
    5. Year(s): Select the years you want included in the output of metrics for comparisons
    6. Time Period: This filter allows you to slice data based on a reporting date type
    7. Type in days (+/-): You can subtract or add a number of days from the time period. For example if you want to look at 10 days past census, you would enter the number 10, if you want to look 10 days before census, you would enter the number -10.

No. FTES is calculated based on section enrollment at the section level by attendance types. The FTES value is calculated by summing the "Total Hours" (refer to SXD4 in CCCCO MIS Data Element Dictionary) in all the enrollment records reported to CCCCO MIS during the requested time period, then dividing by 525. If "Total Hours" cannot be derived because data is missing or set to "Unknown/Unreported", the enrollments are not included. All activity in classes eligible for state apportionment funding is included. This methodology is not same as the methodology used in calculating FTES for CCFS-320 report. There is a great report that examines student’s enrollment, completion, and success of specific courses by a declared major/program, Student Pathways report. You can find this report in SQL reporting services (Insite tile SQL Reporting), Research folder. Selection criteria for the output are shown below, and the outputs include student ID, program, total number of completed units, total number of completed program units, cumulative GPA, lists any completed programs, identifies if the student is enrolled for the current term, lists the last term a student was enrolled, followed by the list of courses within the program and the student grade if it was completed or “CURR” is shown if the student is currently enrolled in that course.

This depends greatly on what you want to do with the information. Here are some guidelines to help you decide:

  1. Independent analysis: If you want to build your own charts/graphs in excel or do any additional analysis downloading the cross tab will provide you the raw data.
  2. Image: Use this if you want to use the graph/chart already provided and insert into an infographic or word document.
  3. PDF: Use this if you want to use the entire dashboard view to share easily with others, use this option.
  4. PowerPoint: You can use this option to get the entire dashboard view formatted as a PowerPoint slide.
